General Rules & Regulations

The National Tobacco & Gift Fair, formerly known as The National Tobacconists Trade Exhibition, is organised by Tobacco Trade Specialists Ltd., on behalf of The Association of Independent Tobacco Specialists.

Only persons engaged in the Retailing, Wholesaling, Distribution or Manufacturing of tobacco products, tobacco sundries and allied products will be allowed entrance to the Exhibition Halls unless permission is granted by the Organisers for a specific reason.

Persons under the age of 18 will not be permitted entrance to the Exhibition Halls unless specific permission is granted by the Exhibition Organiser.

Entrance to the Exhibition is strictly for the TOBACCO & GIFT TRADE ONLY.


APPLICATIONS FOR STAND SPACE

  • Applications should be made on the official form and all details requested must be given. It should be noted that the acceptance of any form by the Organiser does not necessarily constitute an offer of space or facility.
  • The Organiser reserves the right to refuse applications without necessarily giving their reason for so-doing.
  • It has therefore been decided that a non-refundable deposit of £250 plus VAT at the standard rate should be sent with the appropriate booking form and is required by May 14th to guarantee space. The deposit will be credited immediately to the appropriate account and an invoice created accordingly. Invoices for the event will be issued on August 1st and 25% of the total invoice must be paid by the 21st of August with the balance paid by September 26th. No Exhibitor will be allowed to take up tenancy until these conditions of payment are complied with. Any additional costs incurred by the organiser during the show will be the subject of a separate invoice. Please see attached booking form. I should point out that we have already reservations for four new stands this year and it is therefore imperative that you book early to retain your space.
  • The Organiser reserves the right to vary the general layout of the Exhibition and the space allocated to any Exhibitor if, in the opinion of the Organiser, such an amendment is in the general interests of the Exhibition, or if the Organiser is requested to do so by the Local or any other Authority.

COMPANY TITLE

The title originally declared on the application form will at all times remain the title under which the Exhibitor will exhibit his products and appear in the catalogue.


SUB-LETTING

The sub-letting of stands will only be permitted if written application is made to the Organiser before the show and a connection between the lessee and the sub-lessee is proven to exist.


INSURANCE AND EXHIBITOR’S LIABILITY

The Organiser shall not, under any circumstances whatsoever, be liable, or responsible for:-

  • Any damage, loss, theft or destruction whatsoever, or however caused, to any goods, equipment, or any other property belonging to the Exhibitor, or for which the Exhibitor is responsible.
  • Any damage or injury suffered by the Exhibitor, or his servants, or agents, or by any other persons.

The Exhibitor shall be liable for all loss, damage, injury expenses and costs whatsoever, howsoever caused to any person or property in any situation whatsoever, by the Exhibitor, his servants, or agents, or the company’s fittings, exhibits, machinery or other property belonging to the Exhibitor or for which the Exhibitor is responsible. The transportation and installation of all exhibits shall be the sole responsibility of the Exhibitor, as shall be the responsibility for any damage, caused by the Exhibitor, his servants or agents, to any structure, fixtures or fittings, permanent, or temporary at the Exhibition Halls. The Exhibitor will indemnify the Organiser in respect of any such loss, damages, injury or claim, costs, expenses as described above. The Organiser recommends that insurance cover be arranged by each exhibitor to cover his responsibilities.


SECURITY

Responsibility for security will be in the hands of Security Guards appointed by the Organisers and who will be present from 18.00 hours on the Saturday though until 13.00 hours on the Tuesday. Exhibitors must wear their identification badges at all times when in the exhibition rooms. Any person not wearing or refusing to wear a badge will be asked to leave the building. The security guards will also have the right to search persons, stands and vehicles should it be deemed necessary to do so. Access to the Exhibition Halls after opening hours will only be permitted by the designated entrance: any person found making entry or exit by any other means will be treated as an unlawful intruder and may be subjected to restraint. The designated entrances to both rooms are the entrances via the lifts to the second floor from the Reception area. The Organiser has the right to expel any person or persons whose presence within the confines of the show, in their opinion, may prove to be detrimental to the interest of the show.


MANNING OF STANDS

All exhibits must be on view and in the charge of a competent representative of the Exhibitor during the whole period that the show is open.

All STANDS MUST BE IN POSITION BY 8.0AM ON SUNDAY MORNING AND NOT DISMANTLED BEFORE THE CLOSING TIME OF 5.30PM ON MONDAY. IF THERE ARE EXCEPTIONAL CIRCUMSTANCES AND THESE TIMES CANNOT BE MET PERMISSION TO DO OTHERWISE MUST BE REQUESTED OF THE ORGANISER. ANY EXHIBITOR NOT ADHEREING TO THESE TIMINGS WILL NOT BE OFFERED SPACE THE FOLLOWING YEAR.


STAND CLEANING

Exhibitors are responsible for the good order and cleanliness of their own stands. No rubbish may be placed in the aisles while the show is open or for 30 minutes prior to opening.


PUBLIC ADDRESS

The use by Exhibitors of public address systems is prohibited, and loudspeaker and similar devices employed in the demonstration of exhibits by Exhibitors will only be permitted so long as such use causes no inconvenience to visitors and other Exhibitors.


FIRE REGULATIONS

Stands with cooking facilities (Tea/Coffee machines) or relevant fire risks should be equipped with a fire extinguisher. Also Exhibitors should be familiar, if applicable, with the regulations concerning the use of inflammable liquids and gasses and their use in enclosed areas. Access to fire exits must be observed at all times.


HEALTH REGULATIONS

Any Exhibitor supplying food or drink themselves should make themselves aware of and be governed by Local Authority regulations concerning such matters. Food and Drink, wherever possible, should not be consumed within the confines of the Exhibition Rooms during the open hours of the Exhibition.


SMOKING

No smoking of Tobacco or the use of Electronic Cigarettes, Pipes or Cigars is permitted in the building as a whole. Special permission has been granted for smoking on the balcony of the pavilion on the exhibition floor only.


SHOW CATALOGUE

Every Exhibitor whose application is received by the third week in August will receive a free editorial description in the Show Catalogue.


EXHIBITORS BADGES

Exhibitors will be issued with free identity badges. Badges must be worn at all times but will not constitute a right of admission.


ADMISSION TO THE SHOW

Under recent legislation only trade visitors are allowed to attend the show and on no account should invitations be given to anyone outside the trade or any person under the age of 18 without permission.


CONSUMPTION OF FOOD AND ALCOHOL IN THE EXHIBITION ROOMS

Exhibitors are requested NOT to offer customers tobacco, food or alcohol for consumption at their stands. Food and drinks are available in the restaurant on the first floor and in the exhibition reception area. Mobile trolleys offering snacks And drinks will also be present in the exhibition rooms. AITS is contracted to only allow food purchased from Trent Bridge to be consumed on the premises and we do ask that Exhibitors adhere to this request.


REMOVAL OF STANDS AND STOCK

The Exhibition rooms must be cleared of all stock and stands by 8.00pm after the closing of the show on the Tuesday. If this is not possible arrangements for the dismantling of stands or storage until the Wednesday must be made directly with Mr. Tom Paterson at Trent Bridge PRIOR to the Exhibition.


ELECTRICIANS

Electricians will be present on the Saturday and throughout the duration of the exhibition to provide extra lighting and plug sockets if requested and to deal with any exhibitors individual requirements. The organisers offer this service free of charge but ANY MAJOR ELECTRICAL WORK UNDERTAKEN ON THE STANDS WILL BE CHARGED AT COST AND INVOICED TO THE EXHIBITOR AFTER THE SHOW.


POSTPONEMENT OR ABANDONMENT

In the event of all or part of the show being postponed or abandoned or being wholly or partly in premises other than the venue Exhibition Hall or in the event of failure of any of the supplies, services or facilities afforded to Exhibitors due to lockouts, strikes or other circumstances beyond the control of the Organiser, the Organiser shall be under no liability in any way whatsoever in respect of expenditure, liability damage or loss sustained or incurred by the Exhibitors. The Organiser shall be entitled to retain all sums paid to them or such percentage thereof as the Organiser may in his or hers absolute discretion consider it necessary to cover expenses incurred in connection with the show. The Organiser shall not be liable for any loss, damage or expense which Exhibitors may sustain or incur by reason of any Authority intervening and preventing or restricting the use of the show premises or any part there of in any particular manner. In the event of any incident that precipitates the closure either in whole or in part of the show the Organiser will not be held responsible for any curtailment of promotional facilities resulting in a possible reduction of sales or opportunity.
